About Radiant

11 questions

Are your IT services really contract-free?

Yes. We operate on a contract-free model because we believe in earning your business every month through results, not by locking you into long-term agreements. That gives you flexibility and peace of mind.

What areas do you service?

We are happy to help anybody anywhere, with clients in 15 states. Our primary service area is Tampa Bay, including but not limited to Hillsborough, Pinellas and Pasco Counties. Whether you are near or far, do not hesitate to reach out for a free consultation.

What if we already have an internal IT department?

No problem. Many of our customers have internal IT support to handle day to day issues and minor network problems. They often count on us for more advanced IT support functions such as project work, second opinions, advanced security and cloud migrations.

Will you come to our office when we have a problem?

The majority of IT issues can be handled remotely, however sometimes there is a need to be on site. Anytime that need arises, Radiant Technology Solutions will be there to help. We dispatch our certified and insured technicians to your site to get IT working right again.

Are you insured?

It is important to us that you feel secure when putting your technology in our hands. You would not hire a roofer who was not insured, and your IT provider should be no different. We carry both Liability and Cyber Insurance.

What does Radiant Technology Solutions do?

We handle every part of a small business's technology: desktops, laptops, printers, servers, networks, cloud, email and security. You pay a flat monthly fee per device, the help desk answers 24/7, and there is no long-term contract. Our job is to make sure IT never slows your team down.

What systems do you support?

Just about anything you run. Google Workspace or Microsoft 365, Windows or Mac, VMware or Hyper-V, a server in your office or one hosted in Amazon or Azure. If you need to move from one platform to another, we plan and handle the move.

How quickly can you start supporting our business?

In most cases we can begin onboarding within a few days. We assess your network, install our monitoring tools, gather what we need from you and walk you through how to reach support, so the switch happens with as little disruption as possible.

What happens if we already have an IT provider?

We handle the transition for you. Our team coordinates with your current provider if needed, documents your systems and makes sure nothing falls through the cracks. Because we do not use contracts, you are never trading one lock-in for another.

Can you work with our existing vendors?

Yes. We manage and coordinate with your vendors, from your internet provider to your line-of-business software, so you do not have to. One call to us replaces the phone tag between five support lines.

Do you support businesses with more than one location?

Yes. We support multi-location businesses across Florida and beyond through centralized management and remote monitoring, with on-site visits anywhere in the Tampa Bay area when something needs hands.

Pricing and contracts

13 questions

Pricing
Why do you price per device instead of per user?

Because devices are what we actually monitor, maintain and protect. In many offices one front-desk PC serves three people across shifts, and per-user billing would charge you three times for one computer. Per device also makes your invoice easy to check: count the desktops and laptops, and every line adds up. More on Pricing

What happens when I add a laptop?

Tell the help desk and we set it up, install our monitoring and security tools, and add it to your invoice at its plan rate. Retire a device and it comes off the same way. There is no change order and no new agreement to sign. More on Pricing

Are there setup fees?

Onboarding means documenting your network, installing our tools on every device, and taking the handoff from your old provider. Any one-time onboarding charge appears on its own line in your written quote, separate from the monthly per-device fee, so the first invoice holds no surprises. More on Pricing

Can I change plans later?

Yes. If your insurer starts asking for multi-factor sign-in and staff training, you can move up to Elite. If a plan is more than you need, you can step down. The change shows on your next invoice, and no new contract is involved. More on Pricing

Is hardware included?

No. The monthly fee covers support, monitoring and security for the computers you already own. We can source new computers, servers and network gear and quote them separately, and hardware as a service is available if you prefer a monthly payment for equipment. More on Pricing

What if I cancel?

You tell us, and we help you leave cleanly. There is no contract, so there is no early termination fee. We hand passwords, documentation and admin access to you or your next provider, so nothing is held back. That is the whole point of IT support with no contract. More on Pricing

No Contract IT Support
What is the catch with no contract IT support?

The honest catch sits mostly with us: we have to keep earning it. For you, the trade-offs are small. Onboarding takes real work up front. Hardware and licenses you buy are paid separately. And because nobody is locked in, expect us to check in regularly on whether it is working. More on No Contract IT Support

Do your prices go up?

Your per-device rate is set in your written quote. Your bill moves when your device count moves, up when you hire and down when you shrink. If our rates ever change, you hear about it in writing first. Because you can leave any month, any change has to be one you would still accept. More on No Contract IT Support

Can Radiant drop us as a client?

Yes, month to month works both ways, and you should know that. In practice we would only end a relationship for reasons like unpaid invoices or a genuine mismatch in needs. If it happens, you get the same handover as any departing client: passwords, documentation, and time to move. More on No Contract IT Support

Is month-to-month managed IT more expensive than a contract?

Not with us, because there is no longer term on offer to compare against. You pay a flat monthly fee per device for your plan, with no buyout waiting at the end. Some providers do charge more without a term, so ask any company you compare whether the price changes if you decline their contract. More on No Contract IT Support

Who owns our licenses and data if we switch IT companies?

You should, and at Radiant you do. Your files, email, backups, and domain belong to your business, and we set up Microsoft 365 and software in your company's name. When you leave, we hand over admin passwords and documentation. More on No Contract IT Support

How do we get out of our current IT contract?

Start by reading the termination and auto-renewal clauses, and note the date by which you must give notice. Many contracts renew automatically if you miss that window. We can review the terms with you, plan the switch around your end date, and coordinate the handover with your current provider so nothing falls through the cracks. More on No Contract IT Support

Does month to month mean slower or lower-priority support?

No. Every Radiant client is month to month, so there is no group of contracted clients ahead of you in line. You get the same 24/7 help desk, the same monitoring, and the same on-site visits across Tampa Bay as every other client on your plan, whether you are in Dunedin or downtown Tampa. Services

69 questions

Managed IT Services
How much do managed IT services cost in Tampa Bay?

Radiant charges a flat monthly fee for each device we manage, and the rate depends on the plan you pick. Your total comes from your count of users, computers, servers, network gear, and locations. The pricing page explains the three plans, and a free assessment gets you an exact number for your office. More on Managed IT Services

What is not included in a managed IT plan?

Projects are the main thing the monthly fee does not cover. A project is a real change to your setup, like moving offices, installing a new server, or replacing the firewall. We quote every project up front and nothing starts until you approve it, so the monthly bill stays predictable. More on Managed IT Services

Can we cancel managed IT services at any time?

Yes. There is no multi-year agreement to wait out, so you can leave in any month if the service stops working for you. We ask for notice so we can hand passwords, documentation, and systems to whoever comes next. The details are on our no-contract IT support page. More on Managed IT Services

Is computer hardware included in the monthly fee?

Hardware is not part of the per-device fee, but we handle the buying so you do not have to. We spec, order, and set up workstations, laptops, printers, servers, and network gear. If you would rather not pay for equipment upfront, ask about hardware as a service. More on Managed IT Services

How quickly can Radiant start supporting our business?

In most cases onboarding can begin within a few days of saying yes. It starts with a free network assessment and a per-device proposal, then our team installs monitoring and security tools. A project manager runs the hand-off from your current provider, so your staff keeps working throughout. More on Managed IT Services

Do you work with businesses that already have an in-house IT person?

Yes, and it is common. Many clients keep an internal IT person for daily issues and lean on us for security, projects, cloud moves, and second opinions. We call that co-managed IT, and it runs month to month like everything else we do. More on Managed IT Services

Does managed IT include on-site visits?

Yes. On-site support is part of every plan, starting with Radiant Basic. We try a remote fix first because it is usually the quickest way back to work. When hands are needed, a technician comes to your office anywhere from New Port Richey to Tampa. More on Managed IT Services

Help Desk and IT Support
How much does IT support cost for a small business in Tampa?

At Radiant, IT support is part of a flat monthly fee per device, not an hourly rate. The price depends on how many computers, servers, and network devices you have and which security plan you choose. See how the plans work on our managed IT services page. More on Help Desk and IT Support

Where can I find IT support near me in Tarpon Springs?

Radiant Technology Solutions is at 905 E Martin Luther King Jr Drive, Suite 206, in Tarpon Springs. From there our technicians cover Pinellas, Pasco, and Hillsborough counties on site, and we support clients anywhere remotely. Call 727-493-4723 to reach the office and set up a visit. More on Help Desk and IT Support

Is remote IT support safe?

Yes, when it is done properly. Our technicians connect only through managed remote tools installed during onboarding, and they work on a screen you can watch. The same tools let us patch and monitor your computers quietly in the background, so many problems are fixed before anyone notices. More on Help Desk and IT Support

Do you fix one computer, or only support whole offices?

Our plans are built for offices, usually 20 to 50 people, and billed per device each month. If you have a single broken computer or a one-time problem, call us anyway. We will tell you honestly whether we can help and what it would cost. More on Help Desk and IT Support

Will a technician come to our office?

Yes. Most problems are solved remotely, but some need hands on the hardware. When that happens, we send a Radiant technician to your office anywhere in Tampa Bay. Radiant carries both liability and cyber insurance, so you are not letting an uninsured stranger near your equipment. More on Help Desk and IT Support

What systems does your help desk support?

Just about everything a small office runs. We support Windows and Mac, Microsoft 365 and Google Workspace, VMware and Hyper-V, and servers in your closet or hosted in Azure or Amazon. We also look after printers, phones, firewalls, and moves from one platform to another. More on Help Desk and IT Support

Cloud Solutions
How much does a cloud migration cost?

It depends on how many users, mailboxes, and servers are moving and how much data comes with them. The migration is quoted as a project before any work starts. Once you are in the cloud, ongoing management and support fold into your flat monthly fee per device. More on Cloud Solutions

How long does a cloud migration take?

A small email move can be quick, while replacing a file server takes more planning. Timelines depend on users, apps, and the amount of data involved. You see the timeline in your roadmap before anything moves, and the cutover happens in a window you agree to. More on Cloud Solutions

Is the cloud secure enough for patient or client data?

It can be, when it is set up correctly. Most cloud platforms are not HIPAA compliant out of the box, but they can be configured to support compliance. We set up access rules, multi-factor logins, and encryption. Our HIPAA compliance page explains what that involves. More on Cloud Solutions

What is a hybrid cloud?

A hybrid cloud mixes cloud services with a server you still own. Email and shared files often move to Microsoft 365, while an older accounting or design program stays on a local server. It lets a business move in stages instead of all at once, which suits many growing firms. More on Cloud Solutions

Can you support employees who work from home?

Yes. Remote staff get the same 24/7 help desk, the same protected laptops, and the same secure logins as the office. We can also set up a secure VPN for systems that still live on an office server, so home workers are never left out. More on Cloud Solutions

Will we lose email during a move to Microsoft 365?

The goal is that nobody loses a message. We copy existing mail, calendars, and contacts ahead of time, then switch delivery over during the agreed window. Your staff should notice a new login screen and very little else. More on Cloud Solutions

Network Security and Cybersecurity
What is the difference between EDR and MDR?

EDR is software on each computer that spots and stops suspicious behavior, like a program suddenly scrambling files. MDR adds trained people who watch that software around the clock and respond when it raises an alarm. Think of EDR as the smoke detector and MDR as the crew that actually shows up. More on Network Security and Cybersecurity

Do I need extra security if I already use Microsoft 365?

Yes. Microsoft 365 includes strong security tools, but many only help once someone configures them properly. We set up multi-factor logins, conditional access, email filtering, and Defender settings, then keep watching them. A busy office can easily miss the settings that matter most. More on Network Security and Cybersecurity

What security does cyber insurance usually require?

Requirements vary by insurer, but applications commonly ask about multi-factor authentication, endpoint protection like EDR, tested backups, and security awareness training. Missing controls can mean higher premiums or a declined policy. We help you document what is in place before renewal. Our Florida cyber insurance guide goes deeper. More on Network Security and Cybersecurity

How much do cybersecurity services cost for a small business?

At Radiant, security is built into the flat monthly fee per device rather than sold separately. Every plan includes managed antivirus. Advanced adds EDR, MDR, email security, and cloud-to-cloud backup. Elite adds enhanced MFA, training, and dark web monitoring. Compare the plans on our managed IT services page. More on Network Security and Cybersecurity

What is dark web monitoring?

Dark web monitoring watches the hidden sites where criminals trade stolen logins, looking for your company email addresses and passwords. When a match appears, often from a breach at some other website, we alert you so the password gets changed before anyone uses it. It is part of our Radiant Elite plan. More on Network Security and Cybersecurity

How often should a small business get a security assessment?

At least once a year, and again after any big change, like a new office, a new server, or a move to the cloud. Threats change quickly, and so does your own setup. Our free network assessment is an easy place to start if it has been a while. More on Network Security and Cybersecurity

Can Radiant help with HIPAA security requirements?

Yes. HIPAA is the compliance area we work in, and we protect patient data through access controls, encryption, multi-factor logins, and monitored backups. Our Radiant Elite plan is the one recommended for healthcare. Read more on our HIPAA compliance page. More on Network Security and Cybersecurity

IT Consulting
How is IT consulting different from managed IT services?

IT consulting is planning: deciding what to buy, fix, or retire, and in what order. Managed IT services are the day-to-day work of support, monitoring, and security. Radiant does both, so the plan is carried out by the people who wrote it. See our managed IT services page. More on IT Consulting

What does a vCIO do?

A vCIO, or virtual chief information officer, gives a small business senior IT leadership on a part-time basis. That means a technology roadmap, a budget forecast, vendor decisions, security planning, and regular reviews with the owner. You get that thinking without adding a full-time executive to payroll. More on IT Consulting

Is IT consulting worth it for a small business?

For most businesses with 20 or more people, yes. A plan stops you from buying the wrong equipment, paying for unused licenses, or replacing a server in a panic. Small and mid-sized firms often gain the most, because they rarely have a senior IT person on staff. More on IT Consulting

How often should a business review its IT plan?

Review the full plan once a year and check progress every quarter. Revisit it before any big change too, like a new office, a merger, a move to the cloud, or a cyber insurance renewal. Radiant builds quarterly and annual reviews into how we work with every client. More on IT Consulting

How much does IT consulting cost?

For managed IT clients, planning and reviews are part of the monthly relationship, and projects are quoted separately before work starts. Standalone consulting is scoped to the job. The free network assessment is the no-cost first step and gives you a real picture before you spend anything. More on IT Consulting

Can you help us plan an office move or a new location?

Yes. Office moves and new locations are classic IT projects, and planning them early saves real headaches. We map the network, internet, phones, printers, and security for the new space, order the equipment, and schedule the cutover so your team walks in ready to work. More on IT Consulting

Backup and Disaster Recovery
How often should business data be backed up?

As often as your data changes enough to hurt if lost. For many offices that means backups throughout the day, not once a night. We set the schedule from your recovery point objective, so a busy accounting office and a quiet warehouse end up with different settings. More on Backup and Disaster Recovery

Do I need to back up Microsoft 365?

Yes. Microsoft keeps the service running, but protecting your data is your responsibility, and Microsoft's own Services Agreement recommends backing up your content. Deleted items and old versions only stay for a limited time. Cloud-to-cloud backup keeps a separate copy you control, and it is included in our Radiant Advanced plan. More on Backup and Disaster Recovery

Can backups protect against ransomware?

Backups do not stop ransomware, but they take away much of its power. If files get encrypted, we can clean the affected systems and restore from a copy taken before the attack. That is why we pair backups with the prevention tools on our cybersecurity page, like EDR and MDR. More on Backup and Disaster Recovery

How quickly can systems be restored after a disaster?

It depends on the recovery time objective we set together and the size of the systems involved. A single file can come back quickly, while a full server takes longer. We agree targets for each system up front and design the backup to meet them, instead of promising one number for everyone. More on Backup and Disaster Recovery

Can you recover data from a failed hard drive?

Often, yes. Hard drive recovery is part of our backup and disaster recovery work in Tarpon Springs and across Tampa Bay. How much comes back depends on how the drive failed, so we assess it first and tell you honestly what to expect. More on Backup and Disaster Recovery

How often should backups be tested?

Regularly, and always after a major change like a new server or a cloud move. A backup that has never been restored is only a hope. We run restores in an isolated sandbox so testing never touches your live systems, and we share the results with you. More on Backup and Disaster Recovery

Where is our backup data stored?

We keep a local copy for fast restores and a cloud copy in geographically redundant data centers, meaning several locations far apart from each other. If a storm takes out your office, your data still exists somewhere safe and can be restored to new equipment. More on Backup and Disaster Recovery

HIPAA Compliance
Is there such a thing as HIPAA certification for an IT company?

No. HHS does not certify or endorse any company as HIPAA compliant, and no official certification exists for IT providers or practices. Some firms sell private badges, but they carry no legal weight. What counts is your documented risk assessment, the safeguards you put in place, signed business associate agreements, and proof you keep them current. More on HIPAA Compliance

Does my IT company need to sign a business associate agreement?

Yes, if they can reach patient data, and almost every IT provider can. HHS names IT support and cloud providers as common business associates. The agreement spells out how they protect the data and how they report a breach. We sign one with healthcare clients and help you list your other vendors. More on HIPAA Compliance

How often should a practice do a HIPAA risk assessment?

The Security Rule says the risk analysis must be accurate, thorough, and kept current, but it does not set a fixed calendar. Most practices treat once a year as the floor. Redo it sooner after a big change, such as a new EHR, an office move, a new cloud app, or a security incident, because each one shifts where patient data lives. More on HIPAA Compliance

Is Microsoft 365 HIPAA compliant?

Microsoft 365 can support HIPAA, but only when it is set up for it. Microsoft offers a business associate agreement through its standard terms, and the rest is configuration: multi-factor login, email encryption, data loss prevention rules, and audit logging. Out of the box, several of those protections need someone to switch them on and tune them for a practice. More on HIPAA Compliance

What are the penalties for a HIPAA violation?

Penalties are tiered by how careless the violation was, from not knowing up to willful neglect left uncorrected, and HHS adjusts the dollar amounts for inflation every year. Beyond fines, a breach can mean patient notification letters, state attorney general attention, and lost trust. A documented, good-faith program is your strongest protection on every one of those fronts. More on HIPAA Compliance

Does HIPAA apply to a small practice?

Yes. The Security Rule applies to every covered entity that handles electronic patient records, whatever its size. What changes with size is the scale of the answer: a 12-person office can choose safeguards that fit its budget and risk, as long as the reasoning is written down and patient data is genuinely protected. More on HIPAA Compliance

Microsoft 365
Does Microsoft back up my Microsoft 365 data?

Not as a true backup. Microsoft keeps the service running and holds deleted files in recycle bins for a limited time, about 93 days for OneDrive and SharePoint and 14 to 30 days for Outlook items. After that, data is gone. A cloud-to-cloud backup keeps a separate copy you can restore from, whatever happens inside Microsoft. More on Microsoft 365

Which Microsoft 365 plan does a small business need?

Most offices of 20 to 50 people land on Business Standard or Business Premium. Standard covers the desktop Office apps, email, Teams, and SharePoint. Premium adds device management and stronger security tools, which matters if you handle client or patient data. Business plans cap out at 300 users, which suits nearly every small business we see. More on Microsoft 365

How long does a Microsoft 365 migration take?

It depends on how many mailboxes you have, how much data sits in them, and where you are moving from. Planning and cleanup usually take longer than the copy itself. For a typical 20 to 50 person office, we give you a written timeline after the assessment. More on Microsoft 365

Can we keep our email addresses when we move to Microsoft 365?

Yes. Your domain stays yours, so every address stays the same. During the move we update your domain's mail records so new email flows to Microsoft 365, and we copy old mail across first. Your team opens Outlook on day one and sees their history, their folders, and the same address on their business cards. More on Microsoft 365

Who owns our Microsoft 365 licenses if we work with Radiant?

Your company does. The tenant, your data, and your admin access belong to the business, and we document every admin account we create. If you ever leave, the keys and the licenses stay with you. More on Microsoft 365

Can you move us from Google Workspace to Microsoft 365?

Yes. We move Gmail, calendars, contacts, and Google Drive files into Outlook, OneDrive, and SharePoint, then retrain the handful of habits that change. We also support offices that stay on Google Workspace, so if Microsoft 365 is not the right call for you, we will tell you that during the assessment. More on Microsoft 365

Hardware and Software
Should a small business buy or lease its computers?

Buying usually costs less over the life of a machine, and it is simpler to manage. Leasing spreads the cost and can make sense for a big refresh all at once. We help you compare both against your cash flow, and either way we set up, track, and support the devices the same way. More on Hardware and Software

How long should a business computer last?

Plan on replacing most business computers around the time their manufacturer warranty ends, often three to five years, depending on the model and the work. Heavier work, like design or engineering software, ages a machine faster. We track every device's age and warranty so replacements are spread out and budgeted, not sudden. More on Hardware and Software

Is it still safe to run Windows 10 in a business?

Not for long. Microsoft ended free security updates for Windows 10 on October 14, 2025. Businesses can buy Extended Security Updates for a limited time, and the price rises each year. The safer plan is to upgrade machines that can run Windows 11 and replace the ones that cannot, in batches you can budget for. More on Hardware and Software

Can we buy our own computers and have you set them up?

Yes, as long as the model is business-grade and runs a Pro version of Windows so it can take company security settings. Send us the model before you order and we will confirm it fits. Home editions often need an upgrade before we can manage them. More on Hardware and Software

What happens to the data on our old computers?

Before an old computer leaves your office, we wipe the drive with software that overwrites it, or we physically destroy it if it holds sensitive records. That matters for any business handling client or patient data. We note which device was retired and how. More on Hardware and Software

Can you help us get ready for a software license audit?

Yes. We pull an inventory of the software installed on every machine, match it against what you have paid for, and flag the gaps. Unused seats get cancelled, missing ones get bought properly. You end up with one current list you can hand to a vendor, which turns an audit into paperwork instead of a scramble. More on Hardware and Software

VoIP Phone Systems
Can I keep my business phone number if I switch to VoIP?

Yes. Federal number portability rules let you take your number to a new provider. We file the port request, match your account details exactly, and keep your old service running until the move is confirmed. Timing depends on your current carrier. Do not cancel the old service yourself until we tell you the numbers have landed. More on VoIP Phone Systems

What happens to VoIP phones if the power or internet goes out?

Desk phones stop until the connection returns, but calls do not have to. We set automatic forwarding to cell phones when the office goes offline, and many offices add a backup cellular internet line and a battery unit for the network gear. Customers keep reaching you, and most never notice the outage happened. More on VoIP Phone Systems

How much internet speed does a business need for VoIP?

Less than most owners expect. A single call uses roughly 100 kilobits per second, a tiny slice of a modern business connection. Stability matters more than raw speed: dropouts, lag, and choppy audio come from a busy or poorly set up network. We test your connection and prioritize voice traffic before any phone goes live. More on VoIP Phone Systems

Does 911 work on a VoIP phone?

Yes, when it is set up correctly. Federal rules require business phone systems to dial 911 without a prefix like 9 and to send a location responders can find. We register each office address and update it when you move. Tell your team to use a cell phone for 911 if the office internet is down. More on VoIP Phone Systems

Is VoIP cheaper than a traditional business phone line?

Usually, yes, because you drop per-line charges and the on-site phone box. The bigger saving is time: adding a person, moving a desk, or changing hours is a setting, not a technician visit. We price it after the free assessment, once we know your call volume and how many locations need phones. More on VoIP Phone Systems

Can my team use the business line on their cell phones?

Yes. A mobile app puts your business number on each person's cell, so they can make and take work calls without revealing their personal number. Calls ring the desk phone and the app together, and staff can set work hours so evening calls go to voicemail instead of their pocket. More on VoIP Phone Systems

Co-Managed IT
Will co-managed IT replace my in-house IT person?

No. Co-managed IT exists to keep your IT person, not to replace them. They stay the one who knows your people, systems, and priorities, while we cover nights, weekends, security monitoring, and the work that piles up. Many firms find their tech finally has time for the projects they were hired to do. More on Co-Managed IT

How is co-managed IT priced?

Radiant bills managed IT as a flat monthly fee per device, and co-managed work starts from the same model. The final price depends on which tasks we take on and which stay with your team, so we quote after meeting your IT person and seeing the network. More on Co-Managed IT

Who has the admin passwords in a co-managed setup?

Both of you, and that is the point. Your IT person keeps full admin access to every system, and our team gets its own named accounts, so every change is traceable to a person. Nothing is locked away from your staff. If you ever part ways with us, we hand back our access and documentation. More on Co-Managed IT

Can co-managed IT cover only after-hours support?

It can start there. Some firms only need someone to answer nights and weekends while their tech handles the workday. Others add security monitoring or project help later. We write down exactly what we cover, and you can widen or narrow the scope as your needs change, month to month. More on Co-Managed IT

What is the difference between co-managed IT and staff augmentation?

Staff augmentation rents you a person to sit in your seat for a while. Co-managed IT gives your IT person a whole team, plus monitoring and security tools, with no one to hire, train, or replace. You get help desk coverage, engineers for projects, and people watching your network around the clock, all under one monthly fee. More on Co-Managed IT

Can we switch from co-managed to fully managed IT later?

Yes, and it is an easy move because we already know your network. If your IT person leaves or you decide to outsource the rest, we take on the remaining tasks and update the documentation. There is no penalty for changing the arrangement, and you can also go the other way if you hire internally. More on Co-Managed IT

35 questions

Healthcare
Does my IT company need to sign a BAA?

Yes. HHS guidance says an IT provider that creates, receives, maintains, or transmits your electronic patient data is a business associate. That means a signed business associate agreement must be in place before they work on your systems. If a provider will not sign one, treat that refusal as your answer and keep looking. More on Healthcare

Is Microsoft 365 HIPAA compliant?

Microsoft 365 can support HIPAA compliance, and Microsoft offers a BAA for its covered cloud services. The software alone does not make a practice compliant, though. Multi-factor authentication, email encryption, data loss prevention rules, and audit logging all have to be turned on and checked. We configure those settings and document them for your records. More on Healthcare

How often should a medical practice do a HIPAA risk assessment?

HIPAA sets no fixed calendar, but it expects your risk analysis to stay current. A yearly review is the common baseline, plus a fresh look after any big change, such as a new EHR, a second location, or a move to the cloud. We fold that review into our regular quarterly and annual check-ins with you. More on Healthcare

Can you work with our EHR vendor?

Yes. We coordinate with your EHR and practice management vendors so your staff never gets stuck in a finger-pointing call. We handle the network, workstations, printers, scanners, and logins the EHR depends on, and the vendor handles the application itself. Either way, your team has one number to call when something breaks. More on Healthcare

Do you come on site to our practice?

Yes, when a problem needs hands on hardware. Most issues get fixed remotely by our 24/7 help desk, which is usually quicker for your staff. When a printer, scanner, or network closet needs a visit, a technician drives out from Tarpon Springs to practices across Pinellas, Pasco, and Hillsborough counties. More on Healthcare

Law Firms
Can Florida law firms store client files in the cloud?

Yes. Florida Bar Ethics Opinion 12-3 says lawyers may use cloud computing if they take reasonable precautions. That means confirming the provider must keep data confidential, secures it properly, and gives you access when you need it. We document those checks for each cloud tool your firm uses, so the answer is on file. More on Law Firms

What cybersecurity does a small law firm need?

At minimum, a small firm needs multi-factor logins on email and remote access, encrypted laptops, managed antivirus with EDR, email filtering, and tested backups. Firms that handle closings or trust account transfers also need a call-back rule for changed payment instructions. Cyber insurers commonly ask about these same controls on their applications. More on Law Firms

What happens if our systems go down on a filing deadline?

Call the help desk, day or night, and say it is a deadline. We get the person working first, on a spare device or a remote session, then fix the root cause once the filing is in. The Florida Courts E-Filing Portal runs in a web browser, which makes a backup device a quick fix. More on Law Firms

Can you help with e-discovery and litigation holds?

We handle the technical side: preserving mailboxes and files, applying retention holds in Microsoft 365, and exporting data for your litigation support vendor. We do not review documents or give legal advice. Having retention set up before a preservation letter arrives turns a frantic week into a short, documented task. More on Law Firms

Do you support our practice management software?

Yes. Firms use a wide range of practice management, billing, and document tools, both cloud and on-premises. We support the devices, network, logins, and integrations around them, and we call the software vendor when the problem sits inside their application. Tell us your full list during the free assessment. More on Law Firms

Accounting Firms and CPAs
Do CPA firms need a written information security plan?

Yes. The FTC Safeguards Rule requires tax preparers and other firms it covers to keep a written information security program, and IRS Publication 5708 offers a sample to start from. The plan must fit your firm's size and the sensitivity of client data. A template alone is not enough; it has to describe what you actually run. More on Accounting Firms and CPAs

Is QuickBooks Online backed up automatically?

Intuit keeps the platform itself running, but rolling your company file back to a point in time takes a backup tool. Intuit includes one in some plans and sells it on others, and third-party tools do the same job. Our SaaS backup add-on covers QuickBooks Online alongside Microsoft 365 and Google business data. More on Accounting Firms and CPAs

When should an accounting firm switch IT providers?

Late spring or summer, after the April deadline and before extension season heats up. That leaves room to document systems, install tools, and fix old problems calmly. If your current provider is failing you in February, switching mid-season still works; we simply keep changes small until the rush passes. More on Accounting Firms and CPAs

What must a CPA firm do after a data breach?

As of September 2026, the Safeguards Rule requires notifying the FTC within 30 days of discovering unauthorized access to unencrypted data on 500 or more people. Florida's breach law, section 501.171 of the Florida Statutes, adds its own notice duties to affected residents. Encryption and early detection both shrink what you would have to report. More on Accounting Firms and CPAs

Can staff work from home safely during tax season?

Yes, with the right setup. We add secure remote access with multi-factor logins, encrypted laptops, and managed antivirus on every device that touches client data. Home workers call the same 24/7 help desk as the office. We also check that remote access matches what your written plan promises. More on Accounting Firms and CPAs

Manufacturing
What IT support does a small manufacturer need?

A small manufacturer needs someone watching the ERP and file servers, a network that separates machine PCs from office systems, Wi-Fi that covers the whole floor, and tested offsite backups. Add a help desk that answers during every shift, not only office hours. Our 24/7 help desk and flat per-device pricing cover all of that. More on Manufacturing

How do you secure old Windows PCs that run machines?

We isolate them rather than force updates the machine software cannot handle. Each old PC moves onto its own network segment behind a firewall, with internet access cut off unless the vendor needs it. We also limit who can plug in USB drives. That keeps production running while shrinking what an attacker could reach. More on Manufacturing

Why is Wi-Fi so bad on our shop floor?

Steel racking, machinery, and concrete absorb and bounce wireless signal, and office-style access points were never built for that. The fix is a site survey, then business-grade access points placed where the floor actually needs coverage. Ubiquiti is one of our wireless partners, and we tune each install for handheld scanners and tablets. More on Manufacturing

Can you support our ERP system?

Yes. We support the servers, databases, network, backups, and workstations your ERP runs on, and we work alongside your ERP vendor for application issues. You get one number to call, and we handle the vendor conversation. Tell us which ERP or MRP system you run during the free network assessment. More on Manufacturing

How much does IT support cost for a manufacturer?

We charge a flat monthly fee per device, so your cost follows your users, workstations, servers, network devices, and locations. Floor devices like scanners are scoped during the assessment. Every plan runs month to month with no contract, and the free network assessment gets you a written figure before you decide. More on Manufacturing

Construction
How do construction companies get internet at job sites?

Most trailers run on a cellular router with a business data plan until a wired line is worth installing. A small firewall and Wi-Fi access point go with it, so laptops, printers, and plotters share one secure connection. We standardize that kit, so every new site gets the same setup and the same protection. More on Construction

Should construction workers use personal phones for work?

They can, if work apps live in a managed container. Mobile device management keeps company email, plans, and project apps separate from personal data, and lets us wipe only the work side when someone leaves. Company-owned phones and tablets get full management, including remote lock and location tracking. More on Construction

What happens if a superintendent loses a tablet?

Call the help desk right away, day or night. We lock the device, try to locate it, and wipe it if it is gone for good. Because files live in the cloud, a replacement tablet signs in and picks up where the old one left off, usually the same day. More on Construction

Can you support crews working outside Tampa Bay?

Yes. We support crews remotely anywhere and provide on-site service across Tampa Bay. Our help desk fixes most device and login problems remotely, which is how out-of-town jobs get covered. For hardware that needs hands, we ship a configured replacement or send a technician when the site is within reach. More on Construction

Do we have to sign a long-term contract?

No. We charge a flat monthly fee per device, and every plan runs month to month with no contract. Crews grow and shrink with your backlog, so your device count and bill can move with them. The free network assessment gets you a written per-device figure before you commit to anything. More on Construction

Professional Services
What IT support does a small insurance agency need?

A small agency needs multi-factor logins on email and carrier portals, encrypted laptops, managed antivirus with EDR, email security, and backups of Microsoft 365 data. Our 2026 brochure recommends Radiant Advanced for insurance agencies, which adds MDR monitoring around the clock. Carriers increasingly ask about these controls, so documenting them pays off at renewal. More on Professional Services

How do engineering and architecture firms handle large CAD files?

Most combine a fast local file server or network storage with cloud sync for remote staff. The network matters as much as the storage, so switches and Wi-Fi must handle large transfers. We size both during the free assessment, then set up backups that capture drawings without slowing the people working on them. More on Professional Services

Do you support Mac users?

Yes. We support Windows and Mac, Microsoft 365 and Google Workspace, and cloud or on-premises servers. Mixed offices are common in agencies and design firms, so both platforms get the same help desk, security tools, and update schedule. You do not need to standardize on one platform before working with us. More on Professional Services

Can you move our office phones to VoIP?

Yes. We set up business VoIP phone systems, which route calls over the internet to desk phones, laptops, and mobile apps. We handle number porting, call flows, and the network settings that keep call quality clear. Your phones and IT then sit with one provider and one help desk number. More on Professional Services

What if we already have an IT person on staff?

That works well. Many firms keep an internal person for daily issues and bring us in for security, projects, after-hours coverage, and second opinions. Our co-managed IT service shares tools and documentation with your staff, so nobody steps on anyone and your person gets backup when they need it. More on Professional Services

Nonprofits
Does Microsoft 365 have a nonprofit program?

Yes. Microsoft offers eligible registered nonprofits donated and discounted licenses, including Microsoft 365 plans, through its nonprofit program. Microsoft verifies eligibility and sets the terms, which changed in 2025. We help you apply or re-verify, choose the right plans, and set everything up securely. Current pricing depends on your organization, so we confirm it with you directly. More on Nonprofits

Can volunteers get Microsoft 365 licenses?

Sometimes. As of September 2026, Microsoft's rules treat donated licenses and discounted licenses differently, and volunteers are not eligible for every offer. Paid staff and unpaid leadership usually have more options. We map each person to a license they qualify for, and set up shared or guest access where a full license does not make sense. More on Nonprofits

How should a nonprofit protect donor data?

Start with multi-factor logins on the donor CRM and email, role-based access so only the right staff see gift and payment details, and encrypted laptops. Add tested backups and a plan for removing access when staff or volunteers leave. Those steps close the most common gaps without a large budget. More on Nonprofits

Do you offer nonprofit pricing?

Our pricing is a flat monthly fee per device, with the same plans for every organization. Ask about nonprofit terms during the free network assessment. You will get a written per-device figure before you decide, and plans run month to month, so a budget change never traps you. More on Nonprofits

How can a nonprofit prepare its technology for hurricane season?

Move critical files to the cloud, keep offsite backups of anything still stored locally, and write down who restores what if the office closes. Laptops should be ready to work from home. Helene and Milton in 2024 closed offices across Tampa Bay, so this planning protects your programs as much as your data. More on Nonprofits

Can you deliver and set up new computers?

Yes. We source business hardware through partners including Dell, HP and Lenovo, set it up with your software and security, and install it at your desk. In Tarpon Springs we bring it over ourselves, so there is no box sitting on your floor waiting for someone to plug it in. More on Tarpon Springs

What happens if something breaks after hours?

Call the help desk. It runs 24/7 for every client, nights and weekends included, so a server problem on a Saturday night reaches a person, not a voicemail box. After-hours on-site visits are arranged case by case. More on Tarpon Springs

The free network assessment

4 questions

What does the free network assessment include?

We look at the health, security and reliability of your technology: cybersecurity risks, outdated equipment, backup concerns and network issues. You get a plain-English summary of what looks good, what needs attention and what we recommend addressing first.

Do I have to sign anything to get the assessment?

No. There is no contract before, during or after the assessment. If you decide to work with us afterwards, you still will not sign a long-term contract. We earn your business every month or you are free to go.

Will the assessment disrupt my team?

It should not. Most of the review happens quietly in the background, and anything that needs a person, like a walk through the network closet, is scheduled around your day.

Who does the assessment?

Our own team in Tarpon Springs. The same people who would support you afterwards are the ones who look at your network, so the recommendations come from people who will have to live with them.

Managed IT providers in Tampa Bay, compared
How many IT companies should I talk to before choosing?

Three is usually enough. Ask each one the same questions about contracts, billing, help desk hours and on-site coverage, and write down the answers. Comparing three written answers side by side shows the real differences quickly, and it keeps every sales conversation focused on your office instead of their pitch. More on Managed IT providers in Tampa Bay, compared

Is a local Tampa Bay MSP better than a national one?

Neither is automatically better. Most problems are fixed remotely, so a national provider can handle day-to-day help well. A local team matters when something physical fails, like a firewall, a switch or a server, and you need a technician in the office the same day. Decide how often that happens for you. More on Managed IT providers in Tampa Bay, compared

What should a managed IT contract include?

It should state the term length, the notice period, any early termination fee, exactly what the monthly fee covers, and how you get your passwords and documentation back when you leave. If a provider works without a contract, ask for those same answers in writing on the proposal instead. More on Managed IT providers in Tampa Bay, compared

Why don't most IT companies publish their prices?

Pricing depends on device count, security needs and support hours, so many providers prefer to quote after a conversation. That is reasonable. What you should expect is a clear explanation of the pricing model on the first call, even if the final number waits for an assessment of your network. More on Managed IT providers in Tampa Bay, compared

What managed IT costs in Tampa Bay
How much does IT support cost for a small business?

Most small businesses pay $100 to $400 per user per month for managed IT, according to Corsica Technologies' 2026 pricing guide. Per-device plans run about $50 to $100 per workstation per month, per VC3's 2026 guide. Security level, compliance needs and support hours decide where you land within those ranges. More on What managed IT costs in Tampa Bay

Why do IT quotes vary so much?

Quotes differ mostly because of what is included. One may cover EDR, email security and on-site visits, while another leaves them as extras. Line up both quotes against the same list of services, and the gap usually shrinks to one or two items you can ask about directly. More on What managed IT costs in Tampa Bay

Is per-device or per-user pricing cheaper?

It depends on how your office works. If each person uses one computer, the two models often land close together. If people share front-desk computers or work part time, per device usually costs less. If each person carries a laptop, a desktop and a tablet, per user can come out ahead. More on What managed IT costs in Tampa Bay

Are there hidden costs in managed IT?

The common ones are onboarding fees, project work, hardware, and security tools sold as add-ons. None of them are unfair, but they should appear on the proposal in writing. Ask any provider for a list of what is never billed extra, and get the answer before you sign. More on What managed IT costs in Tampa Bay

Cyber insurance requirements for Florida businesses
Do I need MFA to get cyber insurance?

For most carriers, yes. MFA is one of the controls insurers ask about most, especially on email, remote access and admin accounts. Marsh McLennan's 2023 research counted it among the five controls most closely tied to fewer successful attacks. Without it, expect higher premiums, narrower coverage, or a declined application. More on Cyber insurance requirements for Florida businesses

Is antivirus enough for my cyber insurance application?

Usually not. Many applications now ask specifically about EDR, software that spots an attack on a computer and stops it, rather than traditional antivirus. Some also ask whether the alerts are watched around the clock. Check your application wording, then confirm with your IT provider which tool you actually run. More on Cyber insurance requirements for Florida businesses

What does Florida law require after a data breach?

Section 501.171 of the Florida Statutes requires notice to affected Floridians within 30 days of determining a breach. If 500 or more Floridians are affected, you must also notify the Florida Department of Legal Affairs within 30 days. Above 1,000 people at once, consumer reporting agencies must be notified too. More on Cyber insurance requirements for Florida businesses

Can my IT provider fill out the insurance questionnaire?

Your IT provider should help, because they know which controls are actually switched on. The application is still signed by an owner or officer, so you are responsible for the answers. Sit down together, go question by question, and keep their written confirmation with your policy file. More on Cyber insurance requirements for Florida businesses
