Almost every owner I meet in Tarpon Springs asks the same question first: what is this going to cost me? It is the right question, and it deserves a straight answer.

Here is what the national pricing guides say, what pushes your number up or down, and how to tell whether a quote is fair.

How much does managed IT cost per user?

Most small businesses pay between $100 and $400 per user per month, according to Corsica Technologies' 2026 pricing guide, updated in August 2026.

VC3's 2026 Managed IT Services Cost and Pricing Guide lands in a similar place, at $150 to $400 per user per month for full packages in the US and Canada.

How much does IT support cost per device?

Per-device pricing charges a monthly fee for each piece of equipment instead of each person. VC3's 2026 guide lists typical per-device ranges like these:

For a 25-person office where everyone has one computer, per-user and per-device math often land close together. They drift apart when people share computers or carry several.

What drives the monthly number?

Two offices with the same headcount can get very different quotes. These are the usual reasons, roughly in order of how much they move the price.

    EDR (software that spots an attack on a computer and stops it) and MDR (people watching it around the clock) add real cost, and they are often what your cyber insurer requires.

    More computers mean more monitoring, more updates and more help desk time.

Is break/fix IT cheaper than managed IT?

Break/fix looks cheaper on paper because you pay nothing in a quiet month. The catch is that the bill arrives at the same time as the problem.

VC3's 2026 guide puts hourly rates for support work outside a plan at $175 to $350 per hour. One bad week with a failed server can use up months of savings.

Costs that never show up on an IT invoice

The hourly bill is only the visible part. These costs never show up on an IT invoice, but you still pay them:

  • Staff waiting. Everyone who cannot work while the problem gets fixed still gets paid.
  • Lost appointments and deadlines. A dental office that cannot open charts, or a CPA firm locked out in April, loses work it cannot get back.
  • No prevention. Nobody is applying updates or checking backups between calls, so small problems grow quietly.
  • Rush pricing. Emergency work, after-hours visits and overnighted parts cost more than planned work.
  • Unknown backups. Many offices find out their backup stopped running only when they need it.

Break/fix can make sense for a tiny office with a few computers and very few problems. As the team grows, the math usually tips toward a monthly managed IT plan.

How do you know if a quote is fair?

A fair quote is one you can check yourself. Before you sign anything, make sure you can answer these questions from the proposal alone.

    Does it say which security tools are included, by name, and which cost extra?

    Are help desk calls and on-site visits included, or billed by the hour?

    Is there a one-time onboarding fee, and is it shown on its own line?

    How long is the term, and what does it cost to leave early?

  6. Check 06

    Are projects, like an office move or a new server, quoted separately before work starts?
